How we collect it
We collect personal information directly from you wherever possible, for example when you contact us, complete a form on our website or intake paperwork, book an event, place an order, attend an appointment, or communicate with us by phone, email or the MPGo App. With your consent, we may also collect information from other people involved in your child’s care, such as doctors, other allied health professionals, preschools or schools.
Why we collect it and how we use it
We use personal information to:
- provide, plan and coordinate occupational therapy services

- keep our clinic safe
- meet our legal, professional and insurance obligations.
We only send marketing emails if you have agreed to receive them, and you can unsubscribe at any time.
Consent to share information
When your child starts with us, we ask you to complete a consent form. It lets you choose who we may share relevant therapy information with, such as progress, goals, strategies and any incident reports. You can consent to some, all or none of:
- teachers, preschool or daycare educators
- other allied health professionals, such as speech therapists, psychologists and physiotherapists
- doctors and medical staff involved in your child’s care
- family members involved in your child’s care
- your NDIS plan manager, NDIS staff and auditors
- case workers, such as Kinship Care or the Department of Communities and Justice.
You can change or withdraw your consent at any time by contacting us.
Photos, videos and CCTV
With your consent, we may take photos or videos of your child during therapy to track progress or share it with you when you are not present. We will only use photos or videos of your child on social media if you have separately consented to this. Our clinic has CCTV cameras, which are used only for safety purposes. You can ask us for footage if needed.
When we may share information without consent
Occupational therapists are mandatory reporters. If we have concerns about a child’s safety or wellbeing, we are legally required to report them to the NSW Department of Communities and Justice. We must also provide records if required by a subpoena or court order, and may share information where the law otherwise requires or allows it, or where we believe it is necessary to prevent a serious threat to someone’s life, health or safety.
Service providers
We do not sell personal information. We use trusted service providers to help run our business, such as our website host, email provider, practice management and record-keeping systems, the MPGo App, our payment processor (Stripe) and delivery services. They only receive the information they need to provide their service to us.
Overseas disclosure
Some of our service providers, such as Stripe, Google and Meta (Instagram), may store or process information outside Australia, including in the United States. We take reasonable steps to ensure these providers handle personal information in line with Australian privacy law.
Cookies and third-party content
Our website uses cookies to make the site and online shop work (for example, to keep items in your cart and keep you logged in) and to help us understand how visitors use the site through Google services. Our website also displays content from Instagram, which may set its own cookies. You can block or delete cookies in your browser settings, although some parts of the site, such as the shop, may not work properly without them.
How we store and protect information
We store personal information securely in electronic systems with access controls, and in secure physical storage where paper records are kept. We take reasonable steps to protect it from misuse, loss, and unauthorised access, change or disclosure. We keep children’s health records until the child turns 25, and other records for the periods required by law, and then securely destroy or de-identify them.
If a breach of confidentiality occurs, we will let you know, and we will notify the Office of the Australian Information Commissioner where required by the Notifiable Data Breaches scheme.
Accessing and correcting your information
You can ask to see the personal information we hold about you or your child, or ask us to correct it, by contacting us using the details below. We will respond within a reasonable time, usually within 30 days. In limited circumstances allowed by law we may decline access, and if so we will explain why.
Anonymity
You can make general enquiries without identifying yourself. However, we need your details to provide therapy services, take bookings or fulfil orders.
